QuickBooks Online Month-End Close Checklist for US Businesses

A messy ledger leads to bad financial choices. It also creates major headaches during tax season.

Fortunately, QuickBooks Online makes this process easier. You just need a repeatable system.

Follow this Month End Close Process. Your CPA will absolutely love you for it.

Phase 1: Clear the Digital Paperwork Dust

Do not rush straight into matching numbers. First, you must gather all outstanding items.

  • Log Every Invoice: Ensure all customer invoices for the month are sent.
  • Enter All Bills: Record every single vendor bill received.
  • Empty the Receipts Binder: Upload missing expense receipts into QuickBooks.
  • Sync Your Feeds: Confirm your bank and credit card feeds are updating properly.
Phase 2: The Core Reconciliation Steps

Reconciliation is the backbone of your accounting accuracy. It proves your digital books match reality.

Phase 3: Clean Up Sub-Ledgers

Your sub-ledgers track specific details like open customer balances and vendor debts. They must match your main balance sheet.

  • Accounts Receivable (AR) Review
    Run your Accounts Receivable Aging Summary report. Look for ancient unpaid invoices. Send friendly payment reminders to overdue customers. Write off any uncollectible bad debt if necessary.
  • Accounts Payable (AP) Review
    Run your Accounts Payable Aging Summary report. Check for overdue vendor bills. Ensure you did not pay a bill twice. Apply any outstanding vendor credits to open bills.
Phase 4: Adjusting Journal Entries

Some business transactions do not happen through standard invoices or bills. You must record these manually.

  • Depreciation: Record monthly wear and tear on your equipment.
  • Prepaid Expenses: Allocate portions of prepaid insurance or software.
  • Accrued Liabilities: Log unpaid wages or taxes owed for the month.
Phase 5: Lock the Doors

Once your numbers are perfect, you must protect them. Someone could easily alter an old transaction by mistake.

Pro-Tip: Always set a closing date password in QuickBooks Online. It prevents accidental data changes.

How to Lock Your Books in QBO:
  1. Click the Gear Icon (⚙️) in the top right corner.
  2. Select Account and Settings.
  3. Click the Advanced tab on the left menu.
  4. Locate the Accounting section and click the pencil edit icon.
  5. Check the box to Close the books.
  6. Enter your closing date and set a strong password.
  7. Hit Save.
Phase 6: Run Your Reports

Now you can safely analyze your true financial health. These three reports are vital:
